Job Description

MANAGER (GRADE 4) - JOB REF: ICPAK/11/2023

JOB SUMMARY:
Reporting to the Director Finance & Strategy, the Finance manager shall be responsible for the
smooth running of all the finance related activities by ensuring proper recognition of Institute
revenue, proper utilization of the Institute Assets, and ensuring the Institute receives value for
money on all goods and services that is procured therein.

KEY RESPONSIBILITIES
1. Payments and Operational Duties
• Reviewing and approving monthly Bank reconciliations
• Monitoring of daily cash flow and daily banking
• Reviewing the cash-flow every week
• Monitoring invoices booking to the GL, for correct posting in the system.
• Reviewing and approving payments.
• Ensuring correctness of all the payments vouchers posting in the system upon payment
• Approving all the imprest surrenders and reimbursements and ensuring their prompt
posting in the system.
• Liaison person for all bank matter e.g. negotiating favorable rate for foreign exchange
transactions
• Approving journals for posting in the system
• Facilitate the management of sundry creditors’ accounts
• Custodian and Maintenance of asset register.
• Approving all payment and ensuring that procurement’ procedures has been adhered to
before approving the payments.
2. Reporting
• Preparation of the monthly cash flow projections
• Review all majors’ accounts to ensure trial balance is well updated before the
release of monthly reports
• Preparation and reviewing monthly and quarterly Financial performance reports
and Strategic Plan report for management, the committees and council meetings
• Responsible for ensuring the Annual Financial reports are prepared, reviewed,
Audited and published before AGM.

3. Human Resource, Administration and Payroll
• In charge of payroll processing in Navision system
• Manage the administration issue on repairs, maintenances and staff welfare in liaison
with human resource team.
• Ensuring all statutory deductions properly filed, paid and submitted promptly.
• Filing the PAYE return via I-tax
• Conduct a performance appraisal/evaluation to F&S team
• Develop and sign off performance contracts with head of Finance & Strategy and
cascade to other levels
• Develop and implement F&S annual staff training plan
• Conduct a training needs analysis/skills gap analysis for the Finance team
4. Internal and External Audits
• Coordinating and ensuring on schedule smooth internal and external audit
• Providing relevant schedules to the External auditors
• Ensuring implementation and responding to the Finance department management letter
queries.
• Develop and disseminate corrective and preventive measures to address issues from
internal audit reports
5. Credit Control
• Ensure only credit worth customer are given credit during our events.
• Ensure only customers with LPOs/LSOs or with prior arrangements are around to attend
seminars on credit
• Ensure Annual Subscription invoices for active members’ is issued on September of the
previous year.
• Ensure accurate and prompt seminar reconciliations.
• Ensure invoices are dispatched immediately after Seminar reconciliation
6. Budget and cost management
• Responsible for developing the ICPAK Annual budget in consultation with Head of
Finance & Strategy the budget holders and HODs.
• Re Performance monthly evaluation and variance analysis report
• Perform budget monitoring and feedback.
7. Internal Controls
• Formulate policies and procedures to improve finance related internal controls,
compliance and efficiency
• Lead the process for finance internal controls reviews across the department
• Deliver adequate and timely reporting on the internal control framework and control
deficiencies to ensure appropriate communication, documentation, escalation to senior
management and relevant committee
• Deliver adequate and timely action plans and monitor progress to address and resolve
control deficiencies within the finance department
• Actively seek standardization and automation, apply and implement best practices for
managing internal controls and recommend innovative technology where possible to
enhance and continuously improve the design and operating effectiveness of the controls.
8. Leadership
• Coordinating finance activities on daily basis in consultation with HOD and Director.
• Reviewing and evaluating all finance team members Personal objectives
• Working hand in hand with other departmental heads in collective projects
• Motivating and inspiring team through team
• Encourage positive criticism with the team
• Deputizing Head of Finance & Strategy

Person Profile:
Academic and Professional Qualifications
• Bachelor’s degree in Accounting, Finance, Economics or relevant field
• Master’s degree Accounting, Finance, Economics or relevant field
• Professional qualifications: CPA or ACCA qualifications and a member of ICPAK in good
standing.
• 8 year working experience with at least 5 years in a management position in Finance
