Job Description

POSITION TITLE: Program and Administration Officer – KENPHIA II
REPORTING TO: Senior Program Manager
Job Summary
The Program Officer provides programmatic and technical support to field staff implementing the project and ensures effective delivery of the desired results. These include support in implementing the work plan, coordination of the technical team and maintaining synergy within projects, among other duties.

Roles and Responsibilities
• Lead in the setup and operationalization of the KENPHIA II Office in collaboration with the project leadership
• Coordinate and monitor multiple and diverse work processes and activities to ensure management decisions and directives are properly carried out for the timely delivery of products.
• Ensure that all personnel identifiable information is correctly and securely stored and that records are updated.
• Regularly schedule office maintenance of office facilities and equipment.
• Ensure the safekeeping of all office facilities and equipment.
• Support the Senior Program Manager to develop and update work plans and monthly calendar of activities.
• Support in the planning and organization of workshops, trainings and meetings.
• Provide logistical and administrative support to the Technical Team in the execution of their activities.
• Facilitate timely participants’ payments in collaboration with the technical team
• Ensure timely vendor payments by working closely with the Senior Procurement Officer to review the procurement tracker on a monthly basis
• Any other duty as assigned.

Qualifications:
• Bachelor’s degree in Business Administration or other equivalent degree
• Minimum of 5 – 8 years of related experience in procurement, logistics, recordkeeping and/or facilities management, preferably in an NGO.
• Good computer skills with proficiency in Microsoft packages.
• Good organizational skills.
• Sound interpersonal and liaison skills, as well as a team player.
• Excellent planning and organizational skills.
• Good communication and facilitation skills.
• Must be a self-motivated and reliable person who can work with minimal supervision.
