CPSBM/22/25/10/2023: Assistant Health Records & Information Officer III - Job
Group H (2 Posts) Terms of Service: Permanent and Pensionable

a) Duties and Responsibilities
This is the entry and training grade for this cadre. An officer at this level will work
under the guidance of a more senior and experienced officer. Duties and
responsibilities at this level will entail:
i. Storing and retrieving medical records and documents;
ii. Preparing clinics;
iii. Updating bed bureau;
iv. Editing Patient case records;
v. Capturing data from service points;
vi. Maintaining record safety and confidentiality;
vii. Balancing daily bed returns;
viii. Maintaining patient Master Index;
ix. Scheduling of patients to the consultants and specialty clinics;
x. Assigning codes to diseases and surgical procedures;
xi. Indexing diseases and surgical procedures according to the International
Classification of Diseases and Procedures in Medicine;
xii. Compiling medical reports; sharing of health information with other
stakeholders;
xiii. Analyzing data;
xiv. Compiling bio data; and preparing medical records and reports.

b) Requirements for Appointment
For appointment to this grade, a candidate must have: -
i. Be a Kenyan Citizen
ii. Diploma in Health Records and Information Technology from a recognized
institution; and
iii. Certificate in computer application skills from a recognized institution.

c) Personal Qualities
In addition to the above requirements, an officer must have the following
qualities:
i. Ability to get on well with the diverse workforce
ii. Good knowledge in the professional field of specialization
iii. Good communication skills
iv. Ability to work with minimum supervision
v. Good organizational and supervisory skills
