Job Description

Job Summary
Reporting to the Records Officer, the records Assistant will be responsible for managing records within the registrar’s office.

Key Responsibilities
1. Tasked with receiving files from admission’s office for newly admitted international students.
2. Responsible for application and submission of Pupils’ passes for all international students including those on exchange program.
3. Sending communique to International students whose application requirements are not complete.
4. Responsible for making follow ups on delayed applications at the Immigration office.
5. Send out notification to students who are required to provide required documents at the immigration office or appear for interviews.
6. Send communique to students who have been summoned to appear for an interview at the Immigration office.
7. Responsible for processing payments for approved pupils’ passes.
8. Responsible for following up on delayed reflection of payments and issuance of pupils’ passes.
9. Responsible for collecting approved pupils’ passes.
10. Responsible for registration, booking and taking International students to the Immigration office for Alien Registration and pupils’ pass endorsement.
11. Responsible for getting visa extensions for students.
12. Generate letters for the purpose of opening bank accounts or travel to International students with or without pupils’ passes.
13. Run current/periodic enrollment report for International students.
14. Facilitate transfer or cancellation of pupils’ passes.
15. Send communique to International students for pupils’ pass application, renewal and visa renewals.
16. Send communique to students for alien card collection and updates on availability of pupils’ pass.
17. Send communique to students whose passes are ready.

Minimum Educational Qualifications and professional Experience
• Bachelor’s Degree in Social Sciences or Diploma in Business and Office Management.
• Proficiency in computer applications.
• Shown merit and ability as reflected in work performance and results.

Personal Attributes & Competencies
• Excellent IT skills including word processing and use of databases.
• Ability to communicate effectively and professionally with a variety of people.
• Excellent written and oral communication skills including report writing.
• Excellent planning and organizational skills.
• Strong research and analytical skills.
