II. Objectives, duties, areas of responsibility
1. Objective of the position
The aim of the position is to manage Welthungerhilfe’s personnel administration and to
provide respective services to internal customers (staff)
2. Duties and area of responsibility
2.1. Duties with own area of responsibility
• Taking the lead in shortlisting based on the terms of reference
• Scheduling for interviews
• Taking part in the interview process
• Keeping candidates informed aboth the selection process (regrets and job offers)
• Carryout reference checks for successful candidates
• Ensure that new staff information is recorded and filed properly.
• Prepare and update staff induction program
• Prepare Welthungerhilfe employment contracts as directed by the HRM
• Collaborate with HRM to ensure job descriptions are reviewed, complete and accurate.
• Regularly updating personnel files and ensuring correctness of all administrative forms
• Keep track of all employment contracts and ensure validity at all times
• Ensures that medical cover for all staff are up to date at all times
• Ensure staff are aware of relevant policies and procedures and implications of not
adhering to them.
• Ensure new staff have appropriate work space and resources
• In collaboration with the HRM, manage a filing system and database for HR
information and ensure confidentiality of the information.
• In collaboration with HRM, collect and evaluate HR data to be used for
communicating HR metrics
• Oversee the management and general administration of employee leave.
• Update all staff leave records and produce periodic reports.
• Ensure exit interviews are carried out and filled
• Assist with the monthly payroll management
• Replaces the HRM during her/his absence

2.2 Duties without own area of responsibility
• Fulfilment of any other tasks which are assigned by the management and correspond
in general with the character of this position.
2.3. Specific activities and duties of the position/position specific
• Act as the focal person for all staff welfare related issues

3. Job requirements
Knowledge/Qualifications
• Bachelor’s degree preferably in the Human Resources Management or relevant field.
• Certified Human Resource Professional (CHRP), Higher Diploma in HRM or
equivalent.
• IHRM Membership
• At least 3 years’ post-qualification work experience as a HR Officer, preferably in a
not-for-profit organization/INGO.
• Ability to make independent judgement
• Highly level of confidentiality and integrity
• Good knowledge of Data Protection Policy
• Knowledge in policy formulation is a plus
• Good knowledge of the labour laws of Kenya
• Experience working in a multi-disciplinary and multi-cultural environment.
